Red Deer County has issued this Request for Proposal (RFP) to solicit responses from experienced and qualified audio visual firms to design, procure and install a new audio video system (A/V System) for use in the Red Deer County Council Chambers. The new A/V System will replace the existing system, that is currently used for presentations, recording and broadcasting of events (Council Meetings, MPC Meetings, Training Session or other meetings) from the Council Chambers Red Deer County currently has a system that was installed in 2014. At the time of installation there was no provision for any type of video capture or broadcasting during meetings. In the past couple of years, as video and virtual meeting requirements have increased, we have added three cameras to improve the quality and effectiveness of the meetings however the cameras are not integrated with the existing system. The cameras have been configured to provide a full view of the Council and Staff but lack the control and manageability required, which reduces its overall effectiveness. Audio conference and recording functionality was included but is not integrated with any of the on-line meeting platforms such as Teams or Zoom. Red Deer County seeks a vendor(s) who can demonstrate organizational, functional, and technical capabilities with the experience, expertise, and qualifications necessary to implement and support the latest technology in A/V Systems particularly for the use within Red Deer County's Council Chambers. In addition, it will be expected that any new implementation will maintain the aesthetic and visual appearance of the Council Chambers with respect to the visibility of equipment and cabling.
