The Contractor shall provide all equipment and qualified personnel to perform lawn maintenance services including but not limited to mowing, string-trimming, edging, and bush-hogging, in accordance with all specifications, terms and conditions specified herein and attached hereto. The County reserves the right to add or delete related item requirements during the term of the contract, at the unit prices specified in the resulting contract. The Contractor shall meet all VDOT requirements to mow the grass in the Route 29 Right of Way around the County Welcome signs. Any questions pertaining to the Scope of Work, or other solicitation documents must be received in writing by the Culpeper County Purchasing Office, before 10:00 A.M. on Wednesday, January 31, 2024 to: Culpeper County Purchasing Department Attn: Alan H. Culpeper, CPPO, VCO, VCM 155 West Davis Street, Suite 100 Culpeper, VA 22701 E-mail: aculpeper@culpepercounty.gov Potential bidders are encouraged to arrive promptly, since parking is limited. The purpose of this conference is to allow potential Bids an opportunity to present questions and obtain clarifications on the specifications and requirements of the Bid. Following the meeting site visits will be conducted upon request. Proposers must provide their own transportation. Minutes of the pre-bid conference will not be recorded or published. Bidders may also conduct site inspection prior to, or after the optional prebid conference. If the County closes its offices due to inclement weather on Wednesday, January 24, 2024, the scheduled optional pre-bid conference will be held at Thursday, January 25, 2024 at the same location noted above. The period of this contract shall be for one calendar year from the Date of Award. The County shall have the right to automatically renew this agreement for four (4) additional one-year terms under the same terms and conditions of the original contract. The Contractor warrants that the lawn service rates shall remain firm for a period of one year from the first date of the contract period. Adjustments to lawn service rates may be negotiated only during the sixty-day period prior to renewal. The County may give the Contractor written notice of renewal sixty (60) days prior to the expiration date of this agreement.
