The City of Auburn is seeking qualified contractors to provide all labor, materials, and equipment necessary to ensure that preventative maintenance services are performed in a manner that will maintain the performance and function of the City's critical Uninterrupted Power Supply (UPS) systems. The selected contractor will be awarded a 1-year contract with the option to renew for two additional 1-year terms. The City of Auburn currently has a total of seven (7) UPS systems that require routine servicing in the form of the preventative maintenance described in Appendix A. Routine repairs and other non-preventative maintenance work may be authorized by the City on an as-needed basis, and the contractor shall submit separate quotes for consideration of these services. Emergency preauthorized repairs shall not exceed $1,000. Regardless of repair costs, the contractor shall immediately notify the City of any necessary repairs. Prospective bidders are encouraged, but are not required, to conduct site visit to each of the UPS systems prior to submitting a bid proposal to ensure that they have a full understanding of site context and UPS systems requiring service. The purpose of this document is to provide prospective bidders with an overview of the requested services, contractor requirements, and an overview of statutory requirements. It is the responsibility of the prospective bidder to thoroughly read this document and schedule site visits in order gain an understanding of the requested services and proposal submission requirements. Additional Site visit note: Please note that the installation of the UPS system at 2701 Corporate Parkway may not be completed by August 25, 2023, but the owner will make available drawings and specifications upon request.
